Privacy Policy for AI Bookkeeping

AI Bookkeeping (“the App”, “we”, “our”, or “us”) is a web and Android tool that helps users create AI-assisted bookkeeping drafts, transaction category suggestions, income and expense summaries, cash-flow notes, invoice reminder drafts, and bookkeeping cleanup checklists.
This Privacy Policy explains what information may be processed when you use AI Bookkeeping, how that information is used, how subscriptions and local limits work, and how you can request deletion of data related to your use of the App.
1. Information You Enter
The App processes the information you choose to type, paste, or upload, such as transaction rows, receipt text, invoice notes, spreadsheet content, business type, country or region, currency, reporting period, selected task type, and your bookkeeping question.
You control what you submit. The App does not require you to enter real names, bank login credentials, full payment card numbers, tax identification numbers, or highly sensitive personal documents.
2. Uploaded Files
The App may allow you to upload files such as spreadsheets, CSV files, text files, PDF files, Word documents, or other bookkeeping-related documents for analysis.
Uploaded files may be processed locally in the browser or Android app when possible, sent to our server for text extraction, or sent to an external AI API provider for extraction and analysis when needed.
Uploaded content is used only to generate the requested bookkeeping draft, transaction summary, category suggestion, checklist, cash-flow note, or invoice reminder text.
3. Sensitive Financial Data
Do not enter or upload passwords, bank login credentials, full card numbers, private identification numbers, confidential tax documents, payroll records, medical information, or other highly sensitive personal information.
AI Bookkeeping is intended for copied transaction notes, summarized bookkeeping rows, receipt text, invoice notes, and general business records. It is not intended to store or process highly sensitive financial credentials.
4. AI Processing
When you submit a request, the information you provide may be sent to an external AI API provider configured by the App owner, such as OpenAI, to generate the bookkeeping draft or extract readable content from uploaded files.
The OpenAI API key is stored only on the server side. It is not included in the Android app and is not exposed in the frontend.
AI-generated results may be inaccurate or incomplete. You should review all results before using them for bookkeeping, tax filing, invoices, accounting records, or business decisions.
5. Android App and Local Usage Limits
The Android version may store limited data locally on your device, such as the number of free generations used, paid generation counters, paywall status, subscription status, selected product ID, purchase token, and basic app settings.
This local data is stored using Android device storage, such as SharedPreferences, and is used to operate the free preview limit, paid usage limits, subscription access, and app functionality.
The App may offer a limited number of free generations. If a subscription is active, the App may apply weekly or monthly local usage limits according to the subscription plan. Google Play Billing is used to manage subscription status, while the number of generations may be counted locally on the device.
If you clear the App’s storage or uninstall the App, locally stored usage counters and settings may be deleted from your device.
6. Google Play Billing and Payments
If the Android version offers subscriptions or in-app purchases, payments are handled by Google Play. We do not receive or store your full payment card number.
Google Play may process purchase, subscription, and payment-related information according to Google’s own terms and privacy policies.
We may receive limited purchase status information from Google Play, such as product ID, purchase token, package name, and whether a subscription appears to be active, in order to unlock paid features in the App.
Subscriptions can be managed or cancelled through your Google Play account.
7. Usage Limits, Logs, and Technical Data
The App may process limited technical data such as IP address, browser or device information, request time, session identifiers, usage count, server response status, app version, platform, and error logs.
This information is used to apply free-generation limits, prevent abuse, diagnose errors, maintain security, verify app requests, support subscriptions, and keep the App stable.
Technical logs may be stored temporarily by our hosting provider, security tools, analytics tools, server software, or related service providers. We do not use these logs to create user profiles.
8. Data Sharing
We do not sell personal information.
Limited data may be processed by service providers only as needed to operate the App. These providers may include hosting providers, security services, analytics tools, Google Play services, payment processing through Google Play, and external AI API providers.
When you submit content for AI processing, the submitted content may be processed by the configured AI API provider to generate the requested result.
9. Data Retention
AI Bookkeeping is designed to generate drafts from the information you provide. We do not intentionally create a permanent user account database for submitted bookkeeping content.
However, submitted data may be temporarily processed by our server, hosting provider, security tools, error logs, backups, or external AI API providers as needed to complete your request, prevent abuse, troubleshoot errors, maintain security, and operate the service.
Where server logs or backups contain identifiable request information, they may be retained for a limited period for security, debugging, fraud prevention, and operational purposes before being deleted or overwritten.
10. Data Deletion
AI Bookkeeping does not currently require users to create an account. Because there is no account system, we usually cannot identify or delete a specific user profile unless you provide enough information for us to locate related records.
You may request deletion of data related to your use of the App by contacting us at: [email protected]
To help us process your deletion request, please include:
- the app name: AI Bookkeeping;
- whether you used the web version or Android version;
- the approximate date and time of your request or file upload;
- the type of request you submitted;
- the email address you are using to contact us;
- any other details that may help us locate related server records.
After receiving a valid deletion request, we will take reasonable steps to delete identifiable data related to your request that we can locate in active systems, unless retention is required for security, fraud prevention, debugging, legal compliance, payment verification, dispute resolution, or other legitimate operational reasons.
Some data may be impossible to locate or delete if it was submitted without an account, without identifying information, or if it exists only in temporary logs that have already been deleted or overwritten.
11. How to Delete Local Android App Data
The Android version may store limited local data on your device, including generation counters, subscription status, purchase token, paywall state, and app settings.
You can delete local app data at any time by following these steps:
- Open your Android device settings.
- Go to Apps.
- Select AI Bookkeeping.
- Open Storage.
- Tap Clear Data or Clear Storage.
You can also uninstall the App to remove local app data from your device.
Please note that clearing app data or uninstalling the App may reset local generation counters and local settings. Google Play subscription records remain managed by Google Play and can be restored through the App’s restore purchases function, if available.
12. Google Play Purchase Records
If you purchased a subscription or in-app product through Google Play, payment and subscription records are handled by Google Play. We cannot delete purchase records stored by Google Play.
You can manage or cancel subscriptions through your Google Play account.
13. No Professional Advice
AI output is a draft for organization and review. It is not tax, legal, payroll, audit, investment, or certified accounting advice.
You should review all results carefully and consult a qualified professional for tax-sensitive, compliance-sensitive, payroll, audit, legal, or financial decisions.
14. Children’s Privacy
AI Bookkeeping is intended for business, productivity, and bookkeeping use. It is not directed to children. We do not knowingly collect personal information from children.
15. Security
We use reasonable technical and organizational measures to help protect the App and related systems. However, no online service, server, AI system, or data transmission method can be guaranteed to be completely secure.
You should avoid submitting highly sensitive financial credentials, passwords, full card numbers, or confidential personal documents.
16. Changes to This Privacy Policy
We may update this Privacy Policy from time to time. The updated version will be posted on this page with a new “Last updated” date.
